CHECK-IN TIME: ALL UNITS ARE USUALLY AVAILABLE BY 4:00 PM CENTRAL
TIME. If you arrive prior to
4PM and the key is in the lock box, you are welcome to begin your stay. If
the key is not in the lock box, this indicates that the unit is not ready and
you will have to check back later.
In the event you arrive while the cleaning crew is present,
please do not ask them to allow you to “unload a few things”; they have
instructions not to allow anyone into the unit until they have completely
finished. Prior to 4PM, we suggest you check availability before buying
groceries.
2. CHECK-OUT TIME:10:00 AM. Due to our high standards of cleanliness, we appreciate your
cooperation and ask that you depart no later than 10AM. The cleaning crews have
a limited time to clean and prepare for the next guest. There will be a $50 late
departure fee if the unit is still occupied when the cleaning crew arrives.
3. ABSOLUTELY NO PETS are allowed.
If any evidence of a pet(s) is found in your unit or on the premises, you will
be required to vacate immediately and all prepaid funds, including damage
deposit, will be forfeited.
4. AGE REQUIREMENTS: RESERVATIONS MADE FOR
ANYONE UNDER THE AGE OF 25 WILL NOT BE HONORED AND THOSE PERSONS WILL BE
REQUIRED TO VACATE IMMEDIATELY WITH NO REFUND OF RENT OR DAMAGE DEPOSIT (there
is no exception to this policy).
THE INDIVIDUAL MAKING THE RESERVATION MUST BE 25 YEARS OF AGE OR OLDER AND MUST
BE PRESENT
DURING THE ENTIRE STAY.
WE DO NOT RENT TO VACATIONING SPRING BREAK COLLEGE STUDENTS
AND WE VERIFY AGE REQUIREMENTS PRIOR TO AND DURING
YOUR STAY.
5. RESERVATION DEPOSIT: An advance payment
equal to 50% of the total rental fee, excluding tax, is required at the time of
booking in order to confirm your reservation. The advance payment is not a
Damage Deposit (see Damage Deposit Requirement below). The
Reservation Advance Payment may be made by Visa, MasterCard, Discover, money
order, cashier’s check, or personal check (paid at least 30 days prior to
arrival date). Please see "Reservation Procedures" (located on the main menu)
for a detailed explanation of how to confirm a reservation, which includes
payment requirements
.
6. PAYMENTS: Balance of your rental payment +
tax + damage deposit is due 15 days prior to your arrival date
if paying by credit card or 30 days prior to your arrival date if paying
by personal check. If final payment is not received 15 days prior to arrival
date, the reservation will automatically be canceled and all deposits may be
forfeited (see “cancellations” below).
7. DAMAGE DEPOSIT: A Damage Deposit of $300 -
$500, depending on the unit, will be required at the time of final payment.
All units are inventoried and inspected before and after each occupancy.Your Damage Deposit is fully refundable within two weeks of departure
providing:
a)
No damage was done to the unit or its contents (linens
included) beyond normal wear and tear - you will be charged for linens that
have been
stained from make-up, tanning lotion, after sun lotion, etc.
If you will be traveling with an infant or toddler
that may wet the bed, we strongly reccommend that you bring a matress protector.
You will be charged to replace matress pads that have been stained.
b)
All debris, all trash cans and waste baskets emptied, garbage and discards placed outside
in the dumpster provided.
c)
Dishes are cleaned and returned to their proper
cabinets, or placed in dishwasher and cleaned.
d) All food is removed from the refrigerator & freezer and and any spills
cleaned (neither the cleaning staff nor the arriving guests want your
leftover food; regardless if it's unopened)
e)
Both keys provided are left on kitchen counter. (there
is a charge of $50 for each key that is missing)
f
)
The unit is left in a reasonable state of cleanliness.
(A minimum $50 charge if extra cleaning is required) A list of
guidelines can be found in the unit.
g)
No items were missing from the unit .
h
)
There were no violations of the rental policies (total
damage deposit will be forfeited)
IMPORTANT NOTICE:If expenses are
incurred to repair damage, replace missing items, pay for extra cleaning or any
other violation of the rental policy, we reserve the right to apply the damage
deposit to offset expenses. Payment of the above stated penalties does not waive
guest’s liability for damages or consequential damages.
8. LINENS: For your convenience, all beds are
made; sheets, pillows and blanket for sleeper sofa are provided. Bath mat(s),
kitchen towels and hot pads, one set of towels (1 bath, 1 hand, 1 wash cloth)
per number of people unit sleeps are provided.
9. Occupancy:
The maximum number of guests permitted in:
The maximum
number includes adults, children, toddlers and infants.
WE VERIFY THE
NUMBER OF GUESTS DURING EACH STAY. Those parties that exceed the allowable
maximum occupancy will
be required to vacate immediately and all prepaid funds, including damage deposit will
be forfeited.
10. DISCLOSURES:
a)
Every effort has been made for accuracy in our printed
material; however, we are not responsible for errors or omissions. Rental data
and rates are subject to change without notice.
b)
Request to open door due to guest’s misplacement of
key will result in a $50 charge (8am-5pm), $75 charge if after hours or on
weekend.
c)
Guest authorizes Big Thunder personnel access to
rental unit to verify that all terms of this agreement are complied with, or to
perform maintenance and repairs.
d)
There is absolutely NO SMOKING permitted in any unit.
If you choose to smoke outside, please BE CONSIDERATE and do not discard
cigarette/cigar butts in grass or surrounding landscaping. There will be a $100
charge if cigarette/cigar butts have to be removed from the grounds or
landscaping. The entire damage deposit will be forfeited if there are burns or
permanent ash marks on the furnishings, furniture, patio, decks, railings etc.
e)
Big Thunder Properties is not responsible for items
left behind, misplaced or lost. Big Thunder Properties, upon a written request,
will mail/ship items left behind for a minimum $50 charge.
f)
On-site parking of recreational vehicles and/or
personal watercraft (boats, trailers, jet skis, etc.) is prohibited at all
properties except Beachfront Townhomes and allowed there with prior written
approval only.
g)
Any reservation obtained under false pretense or
misrepresentation will be subject to forfeiture of deposits and rental money.
Age requirement and maximum occupancy limits are strictly enforced.
h)
Please note: No refunds are given due to appliance,
utility, cable or internet failure,
beach condition, weather (except mandatory evacuation
due to tropical storm or hurricane),
guest illness,
nor for any inconvenience caused by tenants or circumstances arising from
adjacent units.
11. CLEANING: Daily maid service is not
provided. Rates include housekeeping service upon departure. We do not charge an
additional cleaning fee for rentals of 5 days or more. There will be a cleaning
fee of $75
charged for rentals which are less than 5 days. Linens and towels are
accounted for following each rental and are not to be taken from the unit.
You will be charged for linens that have been stained from makeup, tanning
lotion, after sun lotion, etc. If
you will be traveling with an infant or toddler that may wet the bed, we
strongly reccommend that you bring a matress protector. You will be charged to
replace matress pads that have been stained.
We
suggest you bring beach towels and ask that you not take bath towels to
the beach. Guests are responsible for providing their own bath soap, shampoo,
paper items and cleaning supplies. An initial set-up of trash liners & toilet
tissue is provided.
12. CANCELLATIONS:
For cancellations that are made 45 days or more prior to the arrival date,
there will be a 4% deduction from the total amount which has been prepaid and
the remaining prepaid balance will be refunded immediately . For cancellations
made less than 45 days prior to arrival date, no amount willbe
refunded unless the unit is re-rented for the same rental payment and time
period which had been reserved. If refunded, there will be a 4% deduction from
the total amount prepaid, plus a $50 service charge. WE DO NOT REFUND ANY
PORTION OF RENT OR DEPOSIT FOR CANCELLATIONS OR EARLY DEPARTURES FOR ANY REASON
OTHER THAN A MANDATORY EVACUATION DUE TO A TROPICAL STORM OR HURRICANE.
Cancellations must be made by certified mail or email (email sent to debi@BigThunderProperties.com).
The postmark date or email date shall be used for the purpose of determination
of the cancellation date.
13. HURRICANE POLICY / MANDATORY EVACUATION:
- No refunds will be given unless:
The National Weather Service advises
that a “Tropical Storm Warning" or "Hurricane Warning”
and a "Mandatory Evacuation" has been issued for Seagrove Beach or Walton
County.
The day the National Weather Service advises that
a “Tropical Storm Warning" or "Hurricane Warning ” and a "Mandatory
Evacuation" has been issued for Seagrove Beach or Walton County, Big Thunder
Properties will refund:
1.
Any unused portion of rent from guests currently
registered.
2.
Any unused portion of rent from guests scheduled to
arrive and wish to shorten their stay to arrive after
the “Tropical Storm Warning" or "Hurricane Warning” and "Mandatory Evacuation"
is lifted.
3.
Any advance rents collected for a reservation
scheduled to arrive during the “Tropical
Storm Warning"
or "Hurricane Warning” and "Mandatory Evacuation" period.
14. TELEPHONE / LONG DISTANCE /
INTERNET ACCESS DIAL-UP NUMBERS:
All telephones are equipped with a long distance block. Guests are required to
use a personal calling card in order to place long distance calls. We recommend
that you do not rely on cells phones for long distance, as they do not always
receive adequate reception along the beach. We have provided "local long
distance" service for dial up Internet use. Each call to a "local long distance"
number will cost 20 cents per connection, with unlimited time per connection. We
ask that you be considerate and limit your "local long distance" calls to 3 per
day. In each unit, a list of "free" and "local long distance" telephone prefixes
has been posted. The local access number for AOL & Mindspring is also posted.
Most local access dial up numbers are located in Niceville, FL, which is 20
cents per call. The unit phone number is listed on all confirmations, which can
be used to obtain your Internet providers access number, prior to your arrival.
*Free high speed Internet is provided at Beachcrest #505, Beachside Villa #223,
Beachside Villa #1113, and the Eastern Lake pool home.
15. ITEMS YOU WILL NEED TO
BRING: Beach towels, paper towels, toilet tissue, garbage bags, soap,
dishwasher and laundry detergents (all units have an iron and ironing board). If
you will be traveling with an infant or toddler that may wet the bed, we
strongly reccommend that you bring a matress protector. You will be charged to
replace matress pads that have been stained.
Please remember to bring plenty of sunscreen
and don’t forget the camera!

IS NO LIFE GUARD ON DUTY AND "SWIM AT YOUR OWN RISK" HAS BEEN CONVEYED. LESSEE
FURTHER
UNDERSTANDS
THE PROPERTY POOL IS STRICTLY FOR THE USE OF THE LESSEE AND THOSE FAMILY
MEMBERS,
GUESTS
AND INVITEES WHICH ARE LISTED ON THIS RENTAL FORM (IE...NUMBER OF ADULTS &
NUMBER OF
CHILDREN).
ADDITIONAL FAMILY MEMBERS, GUESTS OR INVITEES WILL BE CONSIDERED A VIOLATION
OF THIS
RENTAL
AGREEMENT. THIS RELEASE OF LIABILITY SHALL: 1) BE ABSOLUTE AND IRREVOCABLE; 2)
SURVIVE THE
TERM
OF THIS AGREEMENT AND SHALL LAST FOR 2 YEARS THEREAFTER; 3) SUPERCEDE ANY
VERBIAGE TO THE
CONTRARY;
4) NOT BE SUBORDINATED IN ANY WAY FOR ANY REASON WITHOUT THE PRIOR WRITTEN

LESSOR; 5) APPLY TO ALL FAMILY MEMBERS, GUESTS AND INVITEES (GUESTS) OF

TO INFORM ALL GUESTS OF THIS RELEASE.
